Job Description: Primary Objectives:, Provide clerical and administrative support for the Academy of Music. Act as initial point of contact for all phone and walk-in traffic. Register students for Academy programs and maintain billing and payment records., Duties:, Process registrations for Academy programs to include add/delete, change enrollment applications and related records, and coordinate changes to database file. Assist director with assignment of students to teachers; data entry of registrations and payments. Check Academy e-mail account to capture data regarding requests for information or lessons. Generate reports to include class rosters, instructor lists, and statistical histories. Maintain Academy waiting list. Create, mail, and maintain records of all bills and payments. Act as initial point of contact for all office and phone traffic: greeting and directing visitors, answering routine questions on Academy programs, communicating with other university staff, routing calls as appropriate, taking payment for bills and merchandise. Assist with the registration and planning of Academy camps, adult programs, early childhood program and fund-raising events. Open, sort, and distribute incoming mail. Prepare outgoing mail and special mailings. Process general correspondence/documents. Compose routine correspondence. Coordinate room scheduling. Coordinate student help for the Academy: supervise student employees, payroll approval. Responsible for ordering, distributing, and cataloguing of office supplies and equipment. Other duties as assigned by director. Working Relationships:, Works with all faculty/staff within the Academy and Lawrence University, Academy students and parents., Employment Requirements:, Must have successful completion of criminal record check, driving record check (where applicable) and reference checks. Equipment Used:, Computer/printer Telephone/E-mail Photocopier/Fax Calculator Position is full-time, 40 hour/wk. 52 wks/yr.; benefits eligible

Experience Required: Knowledge and Skills required:, Prefer 3-5 years previous clerical experience. Strong computer skills. Programs used daily include Microsoft Office products, university database software (Banner and Hyperion). Strong oral and written communication skills. Comfortable with basic accounting. Strong clerical skills with an appreciation for accuracy and attention to detail. Sensitivity to confidentiality of materials/information processed. Strong organizational and planning skills for balancing multiple projects and tasks. Flexibility and willingness to accept and adapt to change.
