Job Description: PDQ Manufacturing, Inc. has an immediate opportunity for an Administrative Assistant. This position manages the reception desk, greets all visitors and answers all incoming telephone calls in a friendly and professional manner. This position also matches packing slips to Accounts Payable invoices and enters vouchers in SyteLine computer system. This role also provides administrative assistance to the Accounting Department, Materials and Marketing groups. Specific responsibilities include the following:, • Answer telephone calls and direct to proper department or individual., • Provide an official PDQ Visitor Badge for each visitor and sign them in and out in the visitor book., • Provide visitors with safety glasses as needed., • Sort the daily mail and distribute to the appropriate mailboxes., • Keep Phone Directory List and mailboxes current., • Log in checks in Excel spreadsheet., • File Accounts Payable packing lists., • Match packing slips to invoices for Accounts Payable., • Voucher invoices for check run., • Proofing Transaction Reports each month., • Provide Administrative support to Accounting, Materials, Marketing, and other Departments as requested., • Help coordinate meetings and events., • Maintain SARBOX compliance related to the job function and provide support for SARBOX audits as requested by supervisor.

Education Required: Success requires the following:, • High school diploma. Completion of a minimum of high school-level Accounting coursework is preferred., • An Associate degree in the Administrative Assistant program or related field is preferred., • A minimum of 2 years receptionist experience in an office environment is preferred., • Excellent telephone etiquette and phone voice quality is required., • Strong verbal communication skills are required., • Must possess strong clerical and administrative skills., • Excellent organizational and interpersonal skills are required., • Excellent computer skills, including high level of proficiency using Microsoft Word, Excel, PowerPoint, and Outlook., • Experience with SyteLine or related manufacturing software is preferred., • Must possess a strong degree of accuracy and attention to detail., • Equivalent combination of education and experience may be considered.
